At Vinedem we take privacy seriously. This policy explains what data we process, for what purpose and with whom we share it when you use the Platform, available at vinedem.com.

1. Data controller

2. Data we collect

Your account data

• First and last name, email address and password (always stored encrypted, never in plain text).
• Optional profile picture and account preferences.
• Organization details: business name, contact details and settings.

Data you enter while working

• Clients, suppliers and employees (name, phone, email and notes).
• Work orders, devices, products and inventory.
• Sales, expenses, debts and account balance movements.

Technical data

• Session and authentication data (to keep you securely signed in).
• Basic device and usage information, for security and service improvement.

3. Purpose and legal basis

• Providing the service: running your account, storing your information and offering the management features (performance of the contract).
• Billing and payments: managing subscriptions and plan payments (performance of the contract).
• Communications: sending you transactional emails (account verification, security notices, plan changes).
• Security and improvement: protecting the Platform, preventing fraud and analyzing usage in aggregate (legitimate interest).

4. Who we share data with

We do not sell your data. We share it only with providers that help us operate, and only as far as necessary:

• Payment processing: Stripe, to manage subscriptions and charges.
• Image storage: Cloudinary, for the images you upload (for example, product or profile photos).
• Email: our email provider, to send transactional messages.
• Analytics: Google Analytics and Vercel, for aggregate usage and performance metrics.
• Authorities: when there is a legal obligation to do so.

5. Data retention

We keep your data while your account is active and for as long as needed to meet legal, accounting or tax obligations. If you close your account, we delete or anonymize the information once those periods have elapsed.

6. Security

We apply technical and organizational measures to protect your information: encryption in transit (HTTPS), encrypted passwords, authentication with short-lived access tokens and optional two-step verification. No system is 100% foolproof, so we recommend using a strong password and enabling two-step verification.

7. Your rights

You can request at any time to:

• Access the data we hold about you.
• Rectify inaccurate or incomplete data.
• Delete your account and the associated data (subject to legal retention periods).
• Object to or restrict certain processing.
