8. Catalogs

The catalogs are the lists you use over and over when creating works and sales: the services you offer, the states a repair goes through, the device brands, and the product types. Keeping them well set up makes loading everything else much faster. The Owner and Administrators find them in Administration, inside "Catalogs". A Member sees Services, States and Brands inside "Catalogs" in the menu.

8.1 Services

In Services you build the catalog of jobs you offer (for example, screen replacement, battery replacement, unlocking). When creating a repair you pick services from this list and set their price at that moment, so you do not have to write the same thing every time.

To add a service: use the create button and give it a name. You can edit or delete it later.

The list already comes with five common repair services. Edit them, delete the ones you do not offer and add your own.

8.2 States

In States you define the stages a repair goes through (for example, Received, In progress, Ready, Delivered). You build your own flow, with the names you use in your shop.

  • Create a state: give it a name and a color to recognize it at a glance in the works list.
  • The color is used in each order's state labels.

States belong to your organization: each shop has its own. Keep the list ordered according to your real work process.

The delivery state

One of your states carries the Delivery marker (you see it as a green badge in the list). It is the state that closes an order, and it does four things at once:

  • records the delivery date,
  • creates the debt on the client's account when the payment was on account,
  • locks the order against further edits,
  • and makes it count towards your dashboard income.

Three things worth knowing:

  • You can rename it freely. The behaviour follows the marker, not the text. If you would rather call it "Collected" or "Closed", rename it and everything keeps working.
  • Only one state can carry the marker. Assigning it to another state takes it away from the current one. Be aware: orders already sitting in the previous state stop counting as delivered: they become editable again and drop out of your dashboard income.
  • It cannot be deleted. To remove it, first mark another state as the delivery state.

8.3 Brands and models

In Brands you keep the catalog of device brands and models (for example, iPhone 15 Pro, Samsung Galaxy A54). You use it when creating repairs, products and sales.

  • Create a brand: enter the brand and the model.
  • If, while creating a repair or a product, you do not find the brand, you can create it on the spot without leaving the form.

If you said you sell electronics when creating the organization, the list already contains the most common iPhone, Samsung, Xiaomi, Motorola and other models. Delete the ones you do not handle and add whatever is missing.

8.4 Product types

In Product types you define the categories of what you sell (for example, Phones, Accessories, Spare parts, Clothing). Every product belongs to a type, and the type does more than classify: it decides which fields appear on the product form.

Each type has two sections you can turn on or off:

  • Electronics: shows storage, RAM, network and battery level. Turn it on for phones, computers, consoles and equipment in general.
  • Clothing: shows size, gender and material. Turn it on if you sell apparel.

You can enable both, one, or neither. A type with no extra sections shows only the basic fields (brand, condition, prices, stock, colour, IMEI or code, photos).

The types you start with depend on what you answered when creating the organization. If you picked both options, the two lists are merged. You can add, edit or delete any of them.

To create a type: give it a name and choose the sections. As you toggle the options, a preview on the right shows the product form exactly as it will look for that type, so you know what you are getting before you save.

If the type you need doesn’t exist while you are adding a product, you can create it right there from the same form without losing what you already typed.

Turning a section off deletes nothing. If a type already has products and you remove a section, that data stops being displayed but stays stored: turn the section back on and it reappears exactly as it was.

A type that is already in use cannot be deleted. Reassign those products to another type first.

Colour does not depend on the type: it is always shown, because a phone has a colour just as much as a t-shirt does.
