10. Settings

In Settings you manage your personal account: My details, Security and Sessions. You find them in the sidebar’s Settings group and in your avatar menu. Your business and team pages (Business, Team, Plan and billing and Activity) live in the Administration group. Members see only Team, Business and Plan and billing there, without being able to change anything; they are explained in this part too because they share screens.

10.1 My data

In My data you edit your profile: your name, your photo (avatar) and your contact details. It is your personal information as a user, not the shop's (that is edited in Business, see 10.5).

Your email language. The first time you come in we ask which language you want us to write to you in. We use it for the emails we send you (receipts, security alerts, notifications). It is separate from the app’s language, which you change from your menu whenever you like.

10.2 Security and two-step verification

In Security you protect your account:

  • Change your password: set a new password (remember the requirements: 8 to 20 characters, with lowercase, uppercase, a number and a special character).
  • Two-step verification (2FA): adds an extra code when signing in. You can use an authenticator app (Google Authenticator, Authy or another) or a code by email; SMS appears as coming soon. Turning it on asks for your password.
  • Authenticator app: scan the QR code (or type the key) in the app, enter the first code it shows and you are done. At that moment you get 10 backup codes: each one signs you in once if you lose your phone. Save or download them, because they are not shown again. The same card shows how many are left and lets you generate new codes (the old ones stop working).
  • When signing in we ask for the app’s code; you can also use a backup code or, if email is on, ask for a code by email. If you tick Trust this device for 30 days, that computer will not ask again; turning off two-step verification or changing your password removes that trust from all your devices.
  • Ways to sign in: connect or disconnect your Google account. If you only sign in with Google, the card offers to add a password through a link we email you; you need it to turn on two-step verification and to disconnect Google.
  • Whenever two-step verification is turned on or off, or Google is connected, we email you: if it was not you, check your security right away.

Enabling two-step verification is the best way to protect your account, especially if several people use the system.

10.3 Active sessions

In Sessions you see the devices where your account has an open session. If you do not recognize one, or you left the session open on someone else's device, you can close it remotely from here.

10.4 Team, roles and invitations

In Team (Administration) you manage the people in your organization.

  • Plan seats: at the top you see how many of your plan’s seats you use, for example "2 of 3 seats used". When you get close to the limit a warning appears with a link to the plans.
  • Last access: the Owner sees when each person last came in.
  • Invite someone: with Invite you send an invitation by email, with a link to accept it. To join, the person also needs the invitation code, which is not in the email: you share it with them yourself (you’ll find it under Pending invitations, with a button to copy it). They have access as soon as they accept, without you having to activate them.
  • Accepting an invitation: someone joining without an account fills in their details and goes straight into the business, already signed in. They can also tap Continue with Google, as long as it’s the Google account for the invited email. If they already had a Vinedem account, they sign in with that email and the business opens on its own.
  • Pending invitations: here you see each invitation’s code to share with the person. If someone can’t find the email, tap Resend: a new link is sent and the previous one stops working; the code stays the same. Revoke cancels the invitation.
  • Change the role: from the list you set each person’s role to Administrator or Member (the Owner’s role is not changed).
  • Remove someone from the team.
  • Roles: Owner, Administrator or Member. The detail is in Roles and permissions (see 10.9).

Permissions: inviting, resending, changing roles and removing members are actions of the organization’s Owner.

10.5 Business

In Business you edit your organization's data:

  • Shop name and logo (the logo appears on receipts).
  • Tax ID: in the Information tab, at the very top, choose the type (CUIT, CUIL or DNI) and type the number, with or without dashes (digits only: 11 for CUIT and CUIL, 7 or 8 for DNI). It is printed on your receipts and quotes. While it is missing you see a "Not filled in" badge and the Administration overview reminds you.
  • What the business does: electronics, clothing, phone charging, or whichever apply. This is what decides which sections appear in your menu. If you buy a generator and start charging phones, tick Phone charging here and the section appears; untick it and it goes away. At least one has to stay ticked.
  • Time zone: defines the shop's today for reports and the cash close. It is important that it is your real location's.
  • Terms and conditions (warranty): the text printed on repair receipts as the service conditions.
  • Currencies: the currencies your shop works with. These are the ones offered in sales, repairs, expenses and debts, so if a currency dropdown looks empty, this is where you add them. Search by name or code and add it.

Removing a currency does not change records that already use it: it simply stops being offered for new ones.

10.6 Billing and plans

In Plan and billing you manage your subscription: you see your current plan, access the payment portal (where you update the payment method or manage the subscription), consult your receipts and can upgrade your plan. The plan details are in Part 11.

Permissions: billing is managed by the organization's Owner.

10.7 Activity log

In Activity the Owner can view a log of accesses and actions within the organization. It is a control tool to know who entered and what they did.

Permissions: the activity log is exclusive to the Owner.

10.8 Deleting your account

In My data, the Delete account tab (the only place it appears) holds Delete my account. It is the one action that cannot be undone, so before asking for your password the system shows you exactly what will go: each organization, how many clients, repairs, charges, products, sales and photos it holds, and which of your own data (sessions, notes, feedback) goes with it.

What is deleted and what is not:

  • The organizations you are the sole owner of are deleted, with everything inside them, photos included.
  • Organizations that have another owner, or where you are only part of the team, are not deleted. Only your access is removed: they keep running for everyone else.

Two things can stop the deletion:

  1. An active subscription. Cancel it first from Billing, so we stop charging you.
  2. Records you created in an organization that is not being deleted. Ask that organization’s owner to reassign them or to remove you from the team.

You are asked for your password, not a confirmation phrase. That is what stops someone who finds your session open from erasing your shop. If you have two-step verification enabled we also ask for the code: an account protected against being signed into should be just as protected against being erased. If your account only uses Google and has no password, we email you a code instead.

Nothing is erased that day. The deletion is scheduled for 30 days later and you get an email with a link to cancel it. During those 30 days:

  • You cannot sign in. Only the emailed link cancels the deletion. Your password will not work, deliberately: if someone else requested the deletion, that person must not be able to undo it.
  • Organizations you solely own are frozen. They still appear, but nobody can work in them. The admins of each one are emailed, with the date.
  • Once the window closes, an automated job erases everything. At that point it is permanent.

Lost the email? On the sign-in page, enter your email and password: sign-in stays refused, but the page offers to send you a new restore link (the previous one stops working). After the 30 days there is nothing left to restore.

10.9 Administration

The sidebar’s Administration group gathers everything about running the business. The Owner and Administrators see all of it. Members see only Team, Business and Plan and billing, to look without editing; if they open any other of these screens, they see a notice that they have no access.

  • Overview: your plan usage (members, plus products and repairs, or charges for a phone charging shop, with how many you have left; "No limit" when your plan has no cap and a warning at 80 %), a Needs attention list (pending invitations, missing tax ID, plan ending soon or a failed charge) and links to every area. From here you can also See plan and Invite member.
  • Export data: in three steps you choose what to export (Sales, Repairs, Customers, Products, Debts or Price list), the period (This month, Last month, Last 90 days, This year, or From and To) and that list’s filters, for example currency, status, technician or a sale price range (choose the currency first). The line at the bottom sums up what you will download, and the file carries those filters in its name. You can download it as Excel or CSV (for Google Sheets, accounting software and other tools). Dates are your business’s days, in its time zone. Under Recent downloads you can repeat a download; they are kept on this device only. If there are too many rows, the file holds the first ones and we tell you.
  • Roles and permissions: a read-only table of what each role can do in each area: Can, View only or No, with notes such as "No deleting". Soon you’ll be able to create custom roles.
  • Team, Catalogs, Business, Plan and billing and Activity: see 10.4 to 10.7 and Part 8.

Permissions: Overview, Export data and Roles and permissions are for the Owner and Administrators. Activity is for the Owner only.
