6. Debts (store credit)

In Debts you keep each customer's store credit: how much they owe you, what payments they made and what balance remains. You record partial or full payments, set up installment plans and even send the customer a statement by email.

6.1 How debts are created

A debt appears when something is left unpaid in full:

  • When delivering a repair whose payment method is store credit (see Part 3).
  • When making a sale with part on store credit (see Part 5).

In both cases the debt is created on its own, tied to the customer and for the outstanding amount.

6.2 The debts list and its filters

The list shows your customers' debts. By default you see the unpaid ones, so you know who owes you.

  • Paid / unpaid filter: switch between open and settled debts.
  • Other filters help you find a specific customer's debt.

6.3 Record a payment

When the customer pays you, you record the payment against their debt.

Step by step:

  1. Open the customer's debt.
  2. Enter the amount they paid (it can be the full amount or part of it).
  3. Confirm. The balance updates instantly.

You can record partial payments: the balance goes down with each payment until it reaches zero.

6.4 Installment plans

When the debt has a plan, you see the number of installments and the amount per installment. The system checks that the total equals installments times amount per installment, so the plan always covers the debt.

6.5 Archive a settled debt

When a debt reaches zero, you can archive it to remove it from the list of open debts without losing the history. When you record the payment that settles the debt, the system offers to archive it in a single step.

If you later void a payment, the amount is credited back to the debt and, if it applied, the settled mark is removed.

6.6 Send the statement to the customer by email

You can send the customer an email with the detail of their debt. Before sending it, the system shows you a preview of how the message will arrive.

If the customer has no registered email, the notification cannot be sent. Add their email from their contact card (see Part 7).

The receipt also fails to arrive while their address is unverified: when you record a payment the window says so and lets you resend the verification email from there. Until the customer confirms their address, receipts and shared notes do not arrive.
