7. Customers and providers
Vinedem keeps a contact directory split in two: Customers (who you repair for or sell to) and Providers (who you buy from). Each contact stores its full history: repairs, sales and store credit.
7.1 Add a customer
Go to Customers and use the create button. You can also create a customer on the fly from a repair or sale form.
Main fields:
- Full name.
- Document: pick the type (national ID, passport, tax ID, driver’s license, residence permit or other) and enter the number. Works for customers in any country.
- Phone and email.
- Email language: the language we write to that person in (receipts, notes and alerts). Leave it empty and we use your organization’s language. It does not change the app’s language.
- Additional contact details.
The email matters: it lets you send the customer their debt statement (Part 6) and other notifications. The phone enables sending notes via WhatsApp from a repair (Part 3).
7.2 Add a provider
Providers are added just like customers, with the difference that they represent whoever supplies you parts or devices. Depending on the contact type, you are asked for the company detail.
7.3 The contact card
Opening a customer or provider gives you their card, which gathers their situation in one place:
- Store-credit balance: how much they owe you (or you owe them).
- Quick links: with the count of their sales, works, debts and products. Each one takes you to the corresponding list, already filtered by that contact.
So, before helping someone, you instantly know their full situation.
7.4 Email verification and customer access
You can send the customer a link to verify their email, and also manage their password reset. This enables the customer's access to their information from the customer portal, so they can check the status of their device on their own.
Verifying the email is not optional: while an address stays unverified, receipts and shared notes never reach it. In the Customers list, an unverified address is marked Unverified next to the email; click that marker to resend the verification email.
