9. Expenses

In Expenses you record what the shop spends: rent, salaries, parts purchases, operating costs and so on. Added to sales and repairs, expenses give you the real result of the business, which you see reflected on the dashboard (Part 2).

Permissions: expenses are sensitive information, so only the Owner and Admins see and record them. A Member has no access to this section.

9.1 Record an expense

Go to Expenses and use the create button.

Fields:

  • Category: one from your list of categories. Each organization builds its own list; if one is missing, you can create it on the spot from the form (the + button).
  • Amount and currency.
  • Description (optional), to leave a note of what it was.

The expense is recorded with the date of the day you enter it.

9.2 Filter expenses

The list lets you filter by category and by date, to analyze where the shop's money goes and compare periods. The period total shows above the list.

9.3 Manage categories

Each organization has its own list of expense categories, managed from Expense categories: you can create, rename, and delete categories. Renaming one updates every expense that uses it. A category that still has expenses cannot be deleted; reassign those expenses to another one first.

A new organization already comes with five common categories (Rent, Salaries, Utilities, Supplies and Taxes) in your language. Edit them, delete the ones you do not use and add whatever is missing.

You can view the list even without an active plan; creating, editing and deleting categories does require one.
